When should I create a Commitment Change Order?

Anytime there is a change in scope or dollar amount to a Commitment agreement in Pegasus. This can include examples like:

  • Extra Work Orders/Requests

  • Change Orders

  • Budget Modifications

  • Balancing Change Orders

Statuses

Commitment Change Orders have two statuses: Draft and Approved.

While in the Draft status, Change Orders are not live in the system and can be modified as needed.

Approved Change Orders are locked and live in the system (depending on the Change Order's Effective Date).

Rules

*Users must have the Manager Permission Set to create a Commitment Change Order.

**Users with Field and View Permission Sets can view Commitment Change Orders.

How to Create a Commitment Change Order

Navigate to the project's Change Order page and select the Commitments tab.

Select the Create button.

From the Create side menu enter the following information:

Select the Save button.

Once the Change Order record has opened, the following four sections are available:

  1. Details: Change Order detail information, you can modify this information by selecting the Edit button.

  2. Remarks: Add any descriptive information about the Change Order here.

  3. Line Items: Commitment agreement line items being modified by this change order. This can include new line items or the modification of existing, budgeted line items.

  4. Attachments: Upload any relevant documentation or files to the change order from this section.

NOTE: At this time Commitment line item breakdowns are not supported during setup of a Commitment. Please enter the total amount the Change Order will be modifying the original Commitment Total amount by.

Add the total Change Order amount by navigating to the Line Items section. Select the Add button.

From the Add side menu enter:

  • Line Number: (typically, sequential starting with # 1, 2, 3...)

  • Description: line item descriptor

  • Quantity

  • Unit of Measure (UOM)

  • Unit Price

Select the Save button.

Attach any reference documentation to the Change Order in Pegasus such as the actual change order or budget modification documentation.

Approve your change order to update project budget information for your project.
