Add a prime contract to track pay items, create payments and change orders, and view item data from the Analytics page.

How to Create a Prime Contract

Select your project from the My Projects page and navigate to your Project's Contracts page. From the Prime Contract tab select the Create button.

From the Add Prime Contract side blade (seen in the image above) enter the following information:

  1. Number: This can be a PO#, Contract number, etc.

  2. Contractor: The general or prime contract awarded the construction contract.

  3. Title: The name or description of the Prime Contract (used to identify the contract).

  4. Job Sites, Strict Contract Amount, Multiple Funding Sources options (these are optional settings for the Prime Contract, please read our article on Prime Contract Advance Settings before enabling these for your contract).

Select the Save button when finished. The Prime Contract record is now created in the Draft status and will open to the details page automatically.

You can edit the above setup fields from the Details section of the Prime Contract record while in a Draft state. Select the Edit button to modify the fields.


How to Copy & Paste Bid Items to the Prime Contract

Learn how to quickly copy & paste bid tabs from Excel or Sheets into Pegasus. We'll be using a sample Excel Bid Tab (see the below image):

Using a sample bid tab in Excel, select all cells and only copy the line item information, discluding any headers or footer information.

NOTE: The Reference Number, Description, Quantity, Unit of Measure and Unit Price fields are required in order to save the bid tab in Pegasus.

From the Bid Tab section select the Manage Bid Items button.

Select cell 1A in the Pegasus spreadsheet and paste your items (Ctrl+v or Cmd+v). Adjust the column headers as needed using the drop downs at the top of the spreadsheet to match columns with their appropriate information. Any columns not being used must have the Ignore option selected.

Select the Save Bid Items button to save your bid tab. Pegasus will calculate Unit Price x Quantity for a total of each item.

The sum of all item totals should match your Excel spreadsheet total when saved.

Select items in the Bid Tab section grid to modify, if necessary. Add individual items manually by selecting the Add button.


How to Approve a Prime Contract

If everything looks set to go with your Prime Contract you can Approve the contract and finalize the setup. Approving your Prime Contract will set it as live in your Pegasus project. Once Approved, users can begin tracking Pay Items from the Daily Construction Report, creating Payments for the Prime Contract, and view performance analytics and status updates of the Prime Contract.

Select your Draft Prime Contract from the grid. Select the Open.

From the Details section select the Approve button.

Congratulations! Your Prime Contract is now Approved and will display as Approved in the Prime Contract grid. You can now begin tracking your project's Prime Contract in Pegasus.
