Create an RFI (Web)
Prerequisites: Must be Creator or Manager Role to create RFIs
To create RFI on the web:
Select the New RFI button.
Enter the following information from the menu:
Title: Descriptive subject or title for the RFI. The title is displayed in the RFI list view table.
Question: If you are creating the RFI, input the question. If you are editing the RFI, modify it. Note: It is recommended that your question always document any additional background information that is required from the person assigned to submit an answer
Due Date: Enter or select a date from the calendar for the RFI response to be due.
Category: Grouping mechanism for RFIs (example: Spec Section, Cost Code, Subject Matter, Discipline, etc.)
Priority: Select an urgency level for responses (High, Medium, Low)
Watchers: Add users with Watcher level permission or higher to the RFI's distribution list. They will be alerted of status changes related to the RFI.
Select the Save button.
The RFI record will now be in Draft status. The Creator can modify the RFI as needed until ready to Submit. Modify the RFI record by adding Attachments so respondents can easily reference information related to the RFI.
Select the Submit button when ready to turnover RFI.
RFI Numbering
The default RFI number is taken from the last created or renamed RFI with the number incremented by one. Starting with the number 1 for each new project and first RFI generated.
Managing and responding to RFIs
Submission (Managers Only): The creator submits the RFI, transferring its ownership to the Manager.
Review: The manager can now assign reviewers, changing the status to Open. The default reviewers are set in RFI settings.
Response: Reviewers provide their responses, which are tracked separately. Reviewers can edit their responses while the RFI is in Open In review status and they are still the Ball in court.
Official Response: The Manager reviews the responses, chooses an official response from a list, adds comments and attachments if enabled, and changes the status to Answered.
